Work Schedule:  Mondays, Tuesdays and Wednesdays (If with Australian accounting experience, will be hired for full-time)

Role Purpose

The client is seeking a highly detail-oriented and process-driven Payroll Officer to manage end-to-end payroll processing for its Australian workforce using KeyPay / Employment Hero.

This is a processing-focused role. The Payroll Officer is responsible for accurate payroll preparation in line with Australian awards, employee contracts, and company policy, while final review, approval, and ABA uploads are completed by the Australian team.

The ideal candidate is meticulous, compliance-focused, and confident working independently within established SOPs, while proactively flagging discrepancies or risks.

Key Responsibilities


Payroll Processing

Process weekly and/or fortnightly payroll for all Australian employees using KeyPay

Ensure payroll is prepared accurately and on schedule in accordance with:

– Modern Awards

– Employment contracts

– Company payroll policies

– Apply correct configurations for:

– Ordinary hours

– Penalties and loadings

– Allowances

– Overtime

– Leave accruals and balances

Payroll Outputs & Approval Support

Generate payslips for employee distribution

Prepare ABA files for Australian team review and approval

Compile a comprehensive Payroll Approval Pack, including:

– Payroll register summary

– Net pay variance analysis vs prior period

– Superannuation summary

– Bank account detail changes

– New starters and terminations

– Manual adjustments and corrections report

– Compliance & Data Integrity

– Maintain accurate records of payroll inputs, amendments, and audit trails

– Ensure correct handling of:

  PAYG withholding

  Superannuation calculations

  Leave entitlements and accruals

– Immediately flag payroll anomalies, exceptions, or compliance risks to the Australian Finance/HR team

– Maintain strict confidentiality and adhere to data privacy and security policies

Reporting & Support

– Support the Australian team with ad-hoc payroll reports as required

– Assist with payroll data validation, reconciliations, and exception reviews when requested

Key Requirements

Essential

– Proven, hands-on experience processing Australian payroll

– Practical experience using KeyPay / Employment Hero (highly preferred)

– Strong understanding of:

  Leave accruals

  Superannuation

  PAYG taxation

  Allowances and payroll adjustments

– High attention to detail with strong numerical and analytical skills

– Ability to follow SOPs precisely and work independently in a remote environment

– Strong written and verbal English communication skills

– High level of integrity and discretion when handling confidential employee data

Preferred

– Australian accounting experience, including exposure to payroll-related accounting processes such as:

– Payroll reconciliations

– Superannuation clearing and reporting

– PAYG and payroll liability tracking

– Experience working alongside Australian Finance teams or external accountants

– Familiarity with month-end or payroll-related accounting support activities

Desirable Experience

– Payroll experience in retail, hospitality, or multi-award environments

– Working knowledge of:

  Fair Work Act

  Modern Awards

  Australian payroll compliance requirements

  Experience preparing:

  Payroll exception reports

  Variance analysis

  Payroll reconciliations

  Reporting & Governance

  Payroll preparation is completed by the Payroll Officer

  Final payroll review, approval, and ABA upload are performed by the Australian team

  The role works closely with Australian Finance and HR stakeholders
