Administrative Assistant

Fulll-time (40 hours a week)

Mon – Fri 9am – 6pm UK Time (London) Includes 1hr unpaid break

Job Description: You’ll be the first virtual assistant hire for this growing marketing agency, playing a crucial role in streamlining operations and freeing up the leadership team to focus on high-leverage growth activities. This position offers the perfect blend of technical CRM work, client coordination, and process optimization. You’ll work directly with cutting-edge marketing technology and be instrumental in supporting the agency’s ambitious scaling plans while developing expertise in marketing operations and client success.

Responsibilities:

  • Set up and configure Go High Level CRM systems for new dental practice clients, activating automations and customizing configurations according to established SOPs
  • Coordinate text-based lead booking processes by communicating with prospects through Go High Level and scheduling appointments in client practice management software
  • Monitor client WhatsApp chats daily, identifying tasks and messages requiring attention and adding them to ClickUp task management system
  • Execute Instagram outbound messaging campaigns by sending template messages to UK dental practices for lead generation
  • Create and maintain standard operating procedures (SOPs) for assigned processes and role responsibilities
  • Provide administrative support to the agency’s pod structure including Customer Success Managers and media buyers
  • Troubleshoot basic system issues and provide quick fixes for clients via chat platforms
  • Support the agency’s transition from founder-led operations to scalable team-based processes

Requirements:

  • Strong administrative skills with exceptional attention to detail and ability to follow detailed processes
  • Customer service or client relations background with professional communication skills via chat platforms
  • Experience working with CRM platforms (Go High Level experience preferred but not required)
  • Proactive mindset with ability to identify issues and escalate appropriately rather than waiting for instructions
  • Multi-tasking capabilities and comfort managing multiple client accounts simultaneously
  • Bonus if you have experience with ClickUp, WhatsApp business tools, or social media management
  • It helps if you have experience creating or maintaining standard operating procedures
